We are seeking a highly organized and proactive Executive Assistant / Project Manager to support senior leadership while also coordinating and managing key projects across the organization. This role requires strong administrative skills, the ability to manage multiple priorities, and the confidence to take ownership of projects from planning through completion.
The ideal candidate is detail-oriented, resourceful, and able to work in a fast-paced environment while maintaining professionalism and confidentiality.
Duties and Responsibilities
Executive Support
- Provide direct administrative support to executive leadership
- Manage complex calendars, scheduling, and meeting coordination
- Prepare reports, presentations, and correspondence
- Handle confidential information with discretion
- Coordinate travel arrangements and itineraries
- Screen calls, emails, and requests, prioritizing as needed
- Organize meetings, agendas, and follow-up action items
- Assist with internal and external communications
Project Management
- Plan, coordinate, and track multiple projects simultaneously
- Work with leadership to define project scope, goals, and timelines
- Monitor deadlines and ensure projects stay on schedule
- Communicate updates to stakeholders and leadership
- Identify risks and develop solutions to keep projects moving forward
- Coordinate cross-department collaboration
- Maintain project documentation and status reports
- Assist with process improvement initiatives
Operations / Administrative Support
- Help improve workflows and organizational efficiency
- Assist with event planning, company meetings, and special projects
- Maintain organized files, records, and documentation
- Support leadership with research and data analysis
- Perform other duties as assigned
