Position: Office - Maintenance Coordinator
Schedule: 5/2, occasional OT

The Mailroom Coordinator/Technician plays a vital role in the efficient operation of our organization by assisting management with daily activities of the mailroom. This position is responsible for coordinating the flow of incoming and outgoing mail, packages, and supplies while ensuring that all tasks are completed accurately and in a timely manner. The ideal candidate will possess strong organizational skills and have previous experience in warehouse distribution, logistics or previous Oil & Gas mailroom environment.
Key Responsibilities:
- Mail Management: Assist with sorting, distribution, and processing of incoming and outgoing mail, ensuring timely and accurate delivery.
- Communication: Respond promptly and clearly to email and Microsoft Teams communications, maintaining professionalism in all interactions.
- Organization: Maintain an organized mailroom environment, implementing systems to track and manage mail and packages efficiently.
- Account Setup: Set up and manage accounts for mail-related services, such as postage meters, courier services, and tracking systems.
- Prioritization: Prioritize tasks to meet deadlines and ensure critical mail is processed promptly.
- Problem Resolution: Address and resolve issues related to mail delivery, missing packages, or team performance.
- Compliance: Ensure compliance with organizational policies and postal regulations.
Qualifications:
- Experience: Minimum of 2+ years of experience in a mailroom, warehouse, logistics or similar operational role
- Must have High School Diploma or GED equivalent; Bachelor's in Business, or related highly preferred.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication skills, with proficiency in email and Microsoft Teams.
- Proven ability to be on time, responsible and dedicated to all operational teams and consistency daily; team player
- Familiarity with mailroom equipment (e.g., postage meters, scanners) and account management systems.
- Candidate must have clean driving record along with valid driver's license.
- Punctual and reliable, with a strong commitment to meeting deadlines.
- Detail-oriented with the ability to prioritize tasks effectively.
- Problem-solving mindset with the ability to handle high-pressure situations.
- Technical Proficiency: Comfortable with Microsoft Office Suite (Outlook, Teams, Excel) and mailroom software.
Work Environment:
- Full-time position, Monday through Friday, with occasional overtime as needed.
- Fast-paced office environment requiring physical tasks such as lifting packages (up to 75 lbs) and standing for extended periods.
- Will travel to various work locations as needed; clean driving record a must
- Collaborative team setting with frequent interaction with internal departments and external vendors.
- Candidate will have access to work vehicle, and will travel to various West Texas and Eastern New Mexico locations as needed.
