Job Summary

We are seeking an energetic and detail-oriented Administrative Assistant with Accounting Support to join our dynamic team. Duties

Handle incoming and outgoing correspondence, including emails, mail, and courier services, ensuring timely distribution.
Support bookkeeping activities using QuickBooks/NetSuite, including data entry, invoice processing, and expense tracking.
Maintain accurate filing systems—both physical and digital—and ensure all documents are properly organized and easily accessible.
Assist with calendar management and scheduling appointments or meetings for team members using Teams or Microsoft Office tools.
Provide exceptional customer service by answering inquiries, supporting clients or vendors, and addressing their needs promptly.
Perform clerical tasks such as proofreading documents, data entry, typing reports, and managing office supplies to keep the workspace organized and efficient.

Requirements

Proven office management or administrative experience with a strong background in clerical tasks and customer support.
Proficiency in QuickBooks/Netsuite for bookkeeping tasks; familiarity with Microsoft Office (Word, Excel, Outlook) and Google Workspace is essential.
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
Strong computer literacy including data entry, file management, and document proofreading skills.
Bilingual (Spanish) abilities are a plus to support diverse client interactions; excellent phone etiquette is required.
Personal assistant experience or previous roles involving calendar management are a plus.

Pay: From $60,000.00 per year
