Role Description

This is a full-time, on-site role located in the Greater Chicago Area. The Executive Assistant/Client Service Associate will provide administrative and executive support to the Founder and team, while serving as a key point of contact for clients and partners.
This is an in-office role requiring daily presence, with minimal to no remote work. This multifaceted position offers opportunities for growth and professional development, including exposure to leadership, client relationships, operations, and marketing initiatives.
Key Responsibilities
• Manage the Founder’s calendar, including scheduling meetings, coordinating priorities, and arranging travel
• Serve as the primary point of contact for clients and partners, delivering a professional and welcoming experience
• Proactively support day-to-day operations by anticipating needs, resolving issues, and ensuring smooth workflow
• Coordinate and execute special projects, including client-facing and firm initiatives
• Provide administrative and operational support, including document management, correspondence, and record-keeping
• Assist with client communications, scheduling, and follow-up to maintain strong relationships
• Support marketing efforts, including events, webinars, and client outreach
• Help implement and improve internal processes, systems, and efficiencies
Qualifications
• Proven experience in executive administrative support, including calendar management, scheduling, and coordination
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
• Excellent written and verbal communication skills with a professional, detail-oriented approach
• High level of professionalism, discretion, and ability to handle confidential information
• Strong time management, problem-solving skills, and attention to detail
• Ability to adapt quickly, take initiative, and support a variety of responsibilities across the firm
• Proficiency in Microsoft Office and related technology
• Experience in financial services or a professional services environment is preferred
• Highly reliable with a strong commitment to consistent in-office presence
