About this Position:
This role supports the President of Dear Media and the Talent & Business Development team by managing high-level administrative functions, coordinating priorities, and ensuring seamless day-to-day operations. The position requires a highly organized, proactive individual who can handle complex scheduling, track key initiatives, and communicate effectively with internal and external stakeholders. It also plays a key role in maintaining office operations and contributing to a fast-paced, entrepreneurial environment within the media and creator space.
RESPONSIBILITIES
- Provide high-level executive support to the President of Dear Media as well as the Talent & Business Development Department, including complex calendar management, scheduling, meeting preparation, and call agendas/notes.
- Assist the President in compiling and synthesizing data, metrics, and insights that support strategic business decisions in addition to managing expense reports.
- Track and follow up on action items to ensure deadlines are met and projects move forward efficiently.
- Maintain and update key department documents including decks, reports, trackers, and reference materials.
- Prepare end-of-day summaries, next-day schedules, and priority briefs for the President.
- Serve as a point of contact for executives, talent, and external partners with a high level of professionalism and discretion.
- Attend select events and support onsite logistics when needed, as well as performing additional tasks and special assignments.
- In-office presence required 4–5 days per week.
ADDED OFFICE ADMINISTRATIVE DUTIES
- Oversee general New York office operations including ordering supplies, maintaining inventory, and coordinating vendor services.
- Greet guests, talent, and partners; ensure meeting spaces are prepared and presentable.
- Support office facilities needs such as scheduling maintenance, coordinating IT requests, and managing incoming/outgoing mail and packages.
- Assist with planning internal meetings, company events, and team-building activities.
- Help maintain overall office organization, cleanliness, and a positive workplace environment.
QUALIFICATIONS
- 1–3 years of administrative or executive assistant experience in a related field (Talent Management, PR, Marketing, Entertainment, or Media).
- Prior experience at a talent agency or similar fast-paced environment strongly preferred.
- Exceptional written, verbal, and presentation communication skills.
- Strong interpersonal abilities with the capacity to interact effectively across diverse personalities and working styles.
- Skilled at managing a high-volume workload, handling multiple deadlines, and remaining organized in a fast-paced environment.
- Demonstrated discretion, professionalism, and ability to handle confidential information.
- Highly proactive, detail-oriented, resourceful, and solutions-driven.
- Passion for podcasting, influencer marketing, digital media, and the creator economy.
